Read below for one of our event managers' tips collected into a simple check list that helps to ensure a smooth planning process leading up to a successful event!
1. The Essentials - Budget, Location, Date, Numbers
The essentials are the building blocks of your event. We have a variety of great venues to recommend depending on your budget, number of guests and the availability of the venue on your requested date. Event location is often determined by the location of your office, transport links, or where your guests are coming from. Your estimated numbers indicate whether an intimate and atmospheric venue is right for you, or whether it is essential to accommodate large numbers comfortably.
2. What are your Event Objectives?
Consider what you want to achieve with your event. Is your aim to impress your directors, educate partners or reward your clients? When clients first call us, we often ask: “How do you want your guests to feel when leaving the event?” This is our way of understanding what your guests’ expectations are and how to exceed them.
3. Previous Events
Think about your previous event experiences and go through possible feedback you received. What did your guests love about it? Did something go wrong? Where the timings too tight or was there a talking point such as an act, decor or food that helped to create exactly the right atmosphere? We want to hear about it and work towards re-creating the best experiences and cross out the possible bad.
4. Food & Drink
It is obvious, we love food. Beautifully presented, seasonal food that tastes great can truly impress your guests. 5. Theme and Special Equipment
The theme of the event mirrors the objectives you have. A daytime conference has a completely different feel to a lavish corporate party, but whatever the objectives, the theme, entertainment and equipment have to match. Think about your specific requirements for AV equipment, floral designs and table decorations, or bands and DJ’s – we have gotten to know quite a few great people about town.
